SUMMARY

The Membership Coordinator supports the planning and execution of membership acquisition and retention efforts. This role assists as needed with the expansion of duties being assigned to the Membership Department in support of the Strategic Action Plan. This position works in partnership with the Marketing Group (Marketing, Membership, Communications, and Tourism Sales), Visitor Engagement, Institutional Advancement, other departments throughout the Museum, and with a variety of vendors and community partners. This position reports to the Program Manager, Membership.

ESSENTIAL FUNCTIONS

Primary Duties

  • Assist with production of acquisition and renewal campaigns in collaboration with the Program Manager, Membership
  • Assist with online membership promotional campaigns via email and social media in collaboration with the Digital Marketing team
  • Budget maintenance including the processing and archiving of contracts and invoices, and accurate expense tracking in budget documents, including monthly reconciliations
  • Frequently review membership collateral and signage throughout the Museum campus to ensure accuracy and sufficient supplies
  • Maintain inventory of printed membership collateral and inform appropriate colleagues when reorders are needed
  • Serve as the Membership point person for all membership web updates and ensure pages have current copy and images
  • Conduct cross training on membership point of sales and customer relationship management (CRM) database and deliver ongoing training for these database programs
  • Implement membership sales staff incentive programs and training to maximize onsite sales in collaboration with the Program Manager, Membership and Visitor Engagement Senior Managers
  • Implement membership promotions for museum visitors, in collaboration with the Program Manager, Membership to maximize membership sales
  • Provide ongoing sales training and membership promotional updates to Visitor Engagement staff
  • Prepare event contracts and honorariums associated with membership events
  • Assist with member communications and inquiries via phone and email
  • Participate in monthly Frontline meetings to keep the team informed of museum events and policies, and to provide information regarding member-related activities
  • Perform additional duties as assigned   

Event Support

  • Provide planning and logistical support for all membership events, including VIP Members’ Hours and Members-only Special Events
  • Assist with maintaining inventory, ordering, and distribution of event supplies as needed
  • Greet and host members during the events
  • Perform additional duties as assigned

 

MINIMUM QUALIFICATIONS

  • High School Diploma or GED certificate
  • Two years of museum, hospitality, or retail experience
  • Exceptional interpersonal, verbal and written communication skills in English
  • Able to work evenings, weekends, holidays and extended schedules as needed
  • Demonstrated commitment to providing exceptional customer service; service oriented with a guests come first mentality
  • Able to exercise good judgment while working independently and collaboratively; works effectively in a team environment with a wide variety of stakeholders, including management, vendors, community partners, and other departments
  • Able to work in a noisy and sometimes chaotic environment and be flexible under a variety of circumstances
  • Reliable, punctual and a self-starter; person with initiative
  • Exceptional organizational and time management skills; precise and detail-oriented; able to multi-task and handle multiple priorities
  • Strong computer skills, including Gmail and Excel experience

 

PREFERRED QUALIFICATIONS

  • Bachelor’s degree
  • Familiarity with budgeting software and practices
  • Membership experience in a non-profit organization
  • Bilingual is a plus

HOW TO APPLY

This is a regular, full-time (37.5 hours per week), non-exempt, union position that includes benefits. The starting range for this role is $35.87 per hour to $37.98.
